Terms for New Tenants

We require all intended occupants over the age of 18 to undergo referencing using ‘NRLA Tenant Referencing'.
The process is straightforward, and you can submit the form online.

Once we have a successful referencing outcome, we will agree on a move in date and time, we will then draw up a AST agreement document. 

In addition to paying rent for the property (payable in advance) you may also be required to make the following permitted payments:

  • Deposit: equivalent to 5 week's rent.
  • Companies seeking to rent a property will be required to pay £260 for the completion of a Company Reference carried out by an independent referencing agency.
  • Payments to other third parties: such as council Tax, utilities, or payments for communications services.
  • Default Charges: such as payment for the replacement of lost keys or interest on overdue rent may be applied.
  • Tenancy Changes: such as requests to vary the terms of or reassign the tenancy may also be applied which will be limited to £50.00.

We may charge a holding deposit which is the equivalent to one week's rent.

One month's rent and the deposit is due three days prior to the tenancy starting, the payments should be made direct to our bank account.
A move-in pack will be provided containing our thorough inventory document for acceptance within seven days of the tenancy starting, if you do not sign the inventory document within the seven days and return it, it is deemed accepted as per the document.

The deposit will be held in a Deposit Protection Scheme (DPS) separate to our company and is protected.

The property cannot be vacated before the end of the initial six months’ tenancy.

Interim inspections will take place periodically.

One month’s notice in writing is required, on or before the next rent due date to vacate the property. Upon successful vacation the initial deposit will be returned via the Deposit Protection Scheme (DPS) within 14 days.

If pets are permitted at the property a pet schedule will be completed.

Duchy Lettings is a member of a redress scheme known as Property Redress Scheme. Copies of the PRS Code of Practice and our complaint handling procedure are available at our website.

During your tenancy, the permitted payments payable by a tenant are in accordance with the Tenant Fees Act 2019.

Before a tenant moves into a property the following needs to be paid.
1. One calendar month’s rent in advance.
2. A refundable tenancy deposit capped at five weeks’ rent where the annual rent is less than £50,000 or six weeks’ rent where the total rent is £50,000 or above.

No fees are charged to tenants for administration, referencing, checks, inventories, tenancy agreements, or references.

The referencing fee for a company application is £260.00

During the tenancy, some charges may apply.

Payments to external entities such as the council, energy providers, or phone and internet companies.

Charges for replacing lost keys and interest on overdue rent may be applied by default.

The tenancy may be altered upon request and if mutually agreed, with a fee of £50.00 applicable for any changes.

If rent is not paid within 14 days of the due date, a late payment fee will be charged. This fee will not exceed 3% above the Bank of England's base rate for each day that the payment has been outstanding.

If the tenancy is terminated early, the tenant is responsible for paying the rent for the remainder of the fixed term period as outlined in the tenancy agreement. The landlord may agree to terminate the tenancy during the fixed term, in which case the tenant will be responsible for paying
